Chapter 10 - Underutilized Reports - Part II

This time we’ll be looking into three more reports that deserve to receive greater attention than they frequently do. Check out these examples.

Production: Sales Manager Report (R-R-4-U-1)

Something that is really simple to do in SMS|Host is to add the initials of the Sales Manager associated with a particular group to the Group Tile in the “Sales Rep” field. This same field is also present on the Corporate Track and Travel Agency setup screens. This report then provides Room Night (Comp, Paid, Total, Occ %), Revenue (Room, Extras, Total) and Average production (Rate and Revenue) statistics (Today plus MTD or YTD) for each Sales Manager based on the groups, corporations and TAs linked to them in Summary or Detail. Guest counts can be per night or per stay and mini-groups may be optionally included.

An Enhanced version (R-R-4-U-2) can further separate the financial data between City Ledger postings (Master bill and scheduled routing) and Guest-responsible incidentals. This is a great example of the power of reporting within an integrated system in which the data retains its contextual values and relationships.

 Data Analysis: Housekeeper Accounting (R-R-1-F-6)

Properties in which Owners are billed for Housekeeping benefits (e.g. departure cleans, daily service, etc.) or in which Guests are charged separately for their services have a powerful tool in their Housekeeping Console for one-button expense processing to Owner and/or Guest accounts. But properties that do not bill for these services are frequently unaware of the advantages of using the Console’s Ca(P)ture command (previously labeled as (P)ost) every night which is SMS|Host’s mechanism for capturing the zones and service assignments performed each day by the Housekeeping staff.

This is information that cannot be obtained in any other manner, nor can it be recreated for prior dates as the circumstances of assignments (e.g. that service in that unit for that Reservation performed by that Housekeeper) change every day. However, once the data is captured, this report can be used to track the cleaning history of a unit, the work record of a given Housekeeper or the locations for a specific service within a desired time period filtered by Multi-Property and/or Rental Program codes. Who, what, when and where all wrapped up in a single report. You are leaving a lot of information on the table if you’re not taking advantage of this one.

 Data Analysis: Market Analysis Report (R-R-4-M-9)

I have to say that this one has long been one of my favorite reports in the system. For a number of years, it was only available from the (Z)Custom command but it finally secured a spot on the Marketing statistics sub-menu. If you are not familiar with it, you are in for a big surprise as it is arguably the single most powerful report in SMS|Host. The reason is that it can be whatever you need it to be as all of the filters work in conjunction. The extensive parameter options allow for extremely granular selection of data – unit types, categories, rental programs, market segments, source codes, media types, states – all for consideration within the context of an arrival date range, booking dates, cancellation dates, departure dates or periods of occupancy. Reservation information can be further analyzed for corporate codes, groups, wholesalers and/or travel agencies plus transient statistics. Any of the options can be used as primary or secondary sorts with the results being ranked and capped.

The output includes gross and net booking counts, cancellation percentage, lead times, party composition and average size, room nights and average length of stay, room, extra and total revenues and averages, all totaled and sub-totaled by the primary and secondary sorting choices. There are some additional nuances you’ll need to explore on your own but this is powerful stuff. By juxtaposing data elements, previously unseen trends and relationships become apparent. Do yourself a favor and check it out.
