Chapter 18 – The Concierge Directory – A Guest Service Information Tool

Sometimes, screens that are only accessible from the Function Keys can get lost when they are out of sight and out of mind. For some users, the Concierge Directory may have fallen victim to that challenge. Accessed with <Ctrl-F2> from anywhere inside your SMS|Host system, the Directory offers a user-friendly central repository for all sorts of information and puts it on everyone’s keyboard.

Begin by creating categories for grouping your data, both external (e.g. restaurants, car rental agencies, retail shops, theaters, medical and dental referrals, houses of worship) and internal (employee listings, department extensions, corporate contacts, etc.). Then, add your individual entries with as much detail as you wish. There is plenty of room for general information – multiple phone numbers, email addresses, web links – plus Public Notes you can print for Guests providing directions, hours of operation, menu suggestions, etc. There are also spaces for Internal Notes, extra contacts and additional web links and references. Each entry can be tagged by up to three keywords to assist in searching and filtering across categories and listings.

So, the next time a Guest stops by the Front Desk and requests directions to local attractions, asks when to catch a movie or where’s the nearest place to grab a cold frosty adult beverage, your answers can be just a couple of key strokes away.   Find the information, press the Print button and hand them a custom branded print-out from your property.
